From zero to 2,011 prospects in 22 days
TruePoint had no CRM, no lead pipeline, and — though nobody knew it — a silently broken email system. Three weeks later they had all three, plus a prospect database that grows itself every day with nobody touching it.
Where they started
- No CRM — leads tracked ad hoc, no pipeline, no follow-up
- Prospecting done manually, one business at a time
- No outbound email, no delivery tracking, no reply capture
- Estimates weren't standardized, tracked, or signable
What we built
- A 7-stage pipeline with deal values, follow-ups and activity history
- An automated bot that reads Chamber of Commerce directories daily
- Email from inside the CRM — delivery, open, reply and bounce tracking
- Estimate builder with branded PDFs, e-signature and auto-advance to Won
The part that keeps working
It found 137 new businesses while nobody was looking
The first 1,874 leads came from the initial directory harvest. The 137 added since then arrived on their own — the bot finding newly-listed businesses months after launch, deduplicated and source-tagged, with zero manual work.
It has now run unattended for 83 days past launch, and was still executing on the day we pulled these numbers.
What we found that wasn't on the brief
Their business email was broken — and they didn't know
Deliverability testing revealed the domain had no MX record at all and an SPF record pointing at the wrong provider. Inbound mail was failing. We repaired it and verified propagation across two DNS resolvers.
We caught a change that would have taken email down
During setup, one toggle would have rerouted all of Kevin's real business email away from Microsoft 365. Caught before it saved. Zero downtime.
We worked around a paywall instead of billing him for it
When the prospecting tool blocked search on its free plan, we built a free import workflow rather than pushing an upgrade he didn't need.
Being straight with you: this engagement proved pipeline creation and automation. It has not yet been running long enough to report closed revenue, so we don't claim any.
